WhatsApp Business app vs the Business Platform (API): a plain-English guide for small teams
The free app is where most businesses start. Here's when you outgrow it, what changes when you move to the API, and the rules that catch new teams out.
WhatsApp gives businesses two very different tools with confusingly similar names. The WhatsApp Business app is the free phone app. The WhatsApp Business Platform, often just called 'the API', is how software like helpdesks and AI agents connect to WhatsApp. Choosing between them comes down to how many people, and how many systems, need to answer customers.
The Business app: great until it isn't
The app gives you a business profile, quick replies, labels and a catalogue, and it costs nothing. It works well when one or two people answer from their phones. It struggles when a team needs to share one number, when you want to connect it to your store or helpdesk, or when you want anything to reply automatically beyond a simple greeting or away message.
What the Platform adds
- One number shared by a whole team, from any device, through a shared inbox.
- Connections to other software: your store, CRM, helpdesk or an AI agent like Onfre.
- Interactive messages such as buttons and lists, plus approved message templates for notifications.
- A clear history of every conversation that you own and can export.
The rules that catch teams out
The biggest difference is the customer service window. When a customer messages you, you can reply freely for 24 hours. Outside that window, you can only start a conversation with a pre-approved template, such as an order update or appointment reminder. Templates must be approved by Meta before you use them.
Pricing is set by Meta and billed to your WhatsApp Business account, separately from any software you use on top. It changes from time to time and varies by country and message type, so always check Meta's current pricing page rather than relying on an old blog post, including this one.
Moving your number
You can bring your existing number to the Platform, but a number can't stay on the phone app at the same time. Plan the switch for a quiet hour, tell your team, and make sure your business is verified with Meta first. Most providers, including Onfre, walk you through verification during setup.
Start on the app. Move to the Platform the day a second person needs to answer, or the day you want answers at 2 a.m.
